What role do feedback loops play for cold domains?

Still have a question, spotted an error, or have a better explanation or a source we should cite?

A feedback loop (FBL) is a service where mailbox providers report back to you every time a recipient marks one of your emails as spam. They're your early warning system. The problem for cold email senders is that the most important ones are either hard to access or don't exist at all.

Here's the gap: Gmail doesn't offer a traditional FBL for cold senders. It processes spam signals internally. Outlook (via Microsoft's JMRP and SNDS programs) does offer FBL enrollment, but it requires your sending IP to meet volume thresholds and pass a reputation check before you're accepted. Most cold email senders on shared infrastructure never get direct FBL access.

What you can use instead:

  • Google Postmaster Tools shows your domain's spam rate and reputation as Gmail sees it. This is the closest thing to an FBL Google offers, and it's free. You need at least a few hundred daily Gmail sends to see data.
  • Microsoft SNDS shows sending IP reputation from Outlook's perspective. Available for IPs that send enough volume to register.
  • Your ESP's complaint dashboard is often the most accessible option. Most reputable ESPs receive FBL notifications from the major ISPs and surface them in your account.

For cold domains specifically, the practical takeaway is this: you won't get real-time complaint data from Gmail (where most of your prospects are). So complaint rate management has to happen upstream, through targeting, list quality, and opt-out handling, not by reacting to FBL alerts after the fact.

Watch your Google Postmaster Tools dashboard weekly. A rising spam rate there is the closest signal you'll get to an FBL from Gmail, and it's enough to catch problems early if you check it regularly.
