What are common cold email mistakes to avoid?

Still have a question, spotted an error, or have a better explanation or a source we should cite?

Cold email mistakes don't just hurt one campaign. They accumulate into reputation damage that follows your domain for months. These are the ones that cause the most lasting harm.

Bad list sources. Purchased or scraped lists contain outdated addresses, spam traps, and people who never consented to hear from you. High bounce rates and complaints are the predictable result. If your list feels old or you're not sure where it came from, clean it before you send. We clean lists if you'd rather not DIY it (hi ;))

Skipping warmup. Sending high volume from a new domain triggers immediate filtering regardless of message quality. A proper domain warmup takes weeks, not days. Patience here pays back later.

Missing authentication. No SPF, DKIM, or DMARC means your messages fail basic trust checks before content is evaluated. It's also the fastest way to end up on blocklists.

Deceptive tactics. Fake reply indicators (Re:, Fwd:), false urgency, or misleading sender names damage trust and often violate regulations. Even if they improve open rates short-term, they generate complaints that hurt you for a long time.

Ignoring bounces. Continuing to send to invalid addresses signals poor list hygiene to mailbox providers. Remove hard bounces immediately, not at end-of-month cleanup.

No unsubscribe mechanism. Required by law in most jurisdictions. Missing it generates spam complaints from people who can't opt out any other way.

Aggressive follow-ups. Too many messages, too close together, to people who haven't responded. Persistence becomes harassment, and harassment generates complaints.

If you're not sure whether your list is clean enough to send, run it through our list validation service before you launch.

Find the weakest point in my cold email setup

I want to audit my cold email program for mistakes before they cause damage. Here's my current setup: - List source: purchased / scraped / manually built / enrichment tool - Domain setup: main domain / separate outreach domain - Authentication in place: SPF/DKIM/DMARC / partial / unknown - Have I warmed up this domain? yes, properly / skipped / in progress - Unsubscribe mechanism: in every email / sometimes / not currently What's my biggest risk and what should I fix first?
