What are the key elements of a good cold email strategy?

Still have a question, spotted an error, or have a better explanation or a source we should cite?

Most cold email problems trace back to skipping one of these foundations. Get them all right and the results follow. Skip one and the others can't compensate.

Targeting precision. Define who you're sending to before you write a word of copy. Generic lists produce high complaint rates and poor results. The more specific the ideal recipient, the more relevant your message can be, and the lower your risk.

Technical infrastructure. Cold email needs a warmed domain separate from your main business domain, proper SPF, DKIM, and DMARC authentication on that domain, and monitoring tools to catch deliverability problems early. This isn't optional setup. Without it, your messages fail basic trust checks before content is even evaluated.

Domain warmup. New domains need a gradual warmup period before you send at scale. Skipping this triggers immediate filtering regardless of how good your message is.

Compelling, personalised messaging. Brief and specific. Why should this particular person care about your offer right now? Generic templates are easy to spot and easy to delete. The more the message feels written for one person, the better it performs.

Compliance. Include a physical address. Provide a working unsubscribe mechanism and honour it immediately. Know which laws apply to your recipients based on where they are. CAN-SPAM, GDPR, and CASL all have different standards.

Volume discipline. Sustainable sending rates protect your sender reputation over time. Quality over quantity. Patience during warmup phases pays off later.

Measurement that matters. Track deliverability indicators, not just reply rates. Watch for complaint rate creep and bounce spikes early, before they become critical problems.

Audit my cold email strategy

I want to audit my cold email strategy against best practices. Here's where I currently stand: - Domain setup: main domain / separate outreach domain / not set up yet - Authentication: SPF/DKIM/DMARC in place / partial / unknown - Warmup: done properly / skipped / in progress - Current sending volume: emails per day - Compliance measures in place: unsubscribe link / physical address / neither - Targeting approach: describe your list source and ICP What's missing and what's my biggest risk right now?
