What are privacy audit tools?
Still have a question, spotted an error, or have a better explanation or a source we should cite?
You're sending emails, collecting consent, storing subscriber data, and probably sharing some of it with third-party tools. At some point, someone's going to ask: can you prove you're doing all of this correctly? That's exactly where privacy audit tools come in.
Privacy audit tools help you check whether your email program and data practices actually line up with the regulations you're supposed to follow. Think GDPR, CAN-SPAM, CASL, and others. They're not magic fix-it buttons. They surface gaps so you know what to address before a regulator or a subscriber does.
Most tools cover a few core areas. They look at how you collect consent, whether your consent records are complete and tied to the right subscriber, how long you're holding onto data, who has access to it, and whether your suppression lists are being honored properly. Some also check your data sharing practices with ESPs and any other third-party platforms you've connected.
There are three common formats these audits take:
- Automated scanning catches technical issues, like missing consent timestamps, broken unsubscribe flows, or retention settings that don't match your stated policy.
- Questionnaire-based assessments walk you through your practices and flag anything that looks risky on paper.
- Professional audits bring in an expert (often a Data Protection Officer or external consultant) to evaluate your full program and documentation.
The reason regular audits matter isn't just legal. Compliance drift is real. You set up your consent flow two years ago, added three new integrations, switched ESPs, and nobody updated the data retention policy. (That's more common than you'd think.) An audit catches that drift before it becomes a problem worth fining.
If you want to understand how DPOs actually use these tools day to day, the next question covers that in detail.
