How should senders manage unknown or ambiguous bounces?

You get a bounce back, but the error message is vague. No clear "user unknown" (hard bounce). No clean "mailbox full" (soft bounce). Just some cryptic server response that doesn't tell you much. So what do you do with it?

The answer depends on how many times you've tried and what the pattern looks like over time.

Start by treating it as a soft bounce

When a bounce doesn't clearly signal a permanent failure, default to temporary. Retry the address on a normal retry schedule, which typically means 3 to 5 attempts over 24 to 72 hours. Most ESPs handle this automatically, but it's worth knowing what your platform's defaults actually are.

If the bounce clears on a retry, great. It was probably a temporary server hiccup. Move on.

When to escalate to hard bounce treatment

If the ambiguous bounce keeps happening across multiple sends, stop retrying and treat the address as undeliverable. A practical threshold most senders use is 3 to 5 failed attempts with no delivery over 3 to 7 days. At that point, continuing to send wastes your sending reputation more than it gains you.

But the exact number isn't sacred. What matters is that you have a threshold and you actually enforce it. Letting ambiguous bounces pile up without a cutoff is how senders quietly accumulate dead addresses that drag down their list health over time.

Log the patterns, not just the individual events

One ambiguous bounce from a single domain tells you very little. Ten ambiguous bounces from the same receiving server tells you something is structurally wrong, whether that's a filtering rule, a misconfigured server, or a receiving domain that's temporarily broken. Log ambiguous bounces separately so you can spot these patterns before they become a bigger problem.

Some ESPs do this for you. Others give you raw data and expect you to do the analysis. If your platform is in the second camp, a simple CSV export filtered by bounce type once a week goes a long way.
