What tools can help with list cleaning?

Still have a question, spotted an error, or have a better explanation or a source we should cite?

You'll need a combination of tools to clean your list properly. No single tool does everything.

Start with Review My Emails validation service (or alternatives like ZeroBounce, NeverBounce (now ZeroBounce), or Kickbox if you prefer). These tools tell you which addresses are technically valid. They check MX records, run SMTP tests, and flag addresses from spamtraps or high-risk sources. This is your first cut. Remove the obvious dead weight before you do anything else.

Next, use your email service provider's built-in segmentation and engagement tracking. Most ESPs (like Mailchimp, Klaviyo, or Brevo) let you tag and segment subscribers by their last open date, last click date, and total engagement level. Use that data to identify the addresses that are technically valid but haven't engaged in six months. That's your second cut.

If you're concerned about your domain reputation, set up Google Postmaster Tools and Microsoft SNDS. These show you what Gmail and Outlook actually think of your sender reputation. They'll surface spam complaint rates and bounce rates by domain. This is your signal that something's wrong before a full cleaning becomes urgent.

Finally, consider a blocklist monitoring tool. Review My Emails offers blocklist checking as part of validation, but there are standalone tools like MXToolbox as well. These show you whether your domain or IP is blacklisted, which can tank your deliverability overnight.

The workflow is: validate first. Segment by engagement second. Monitor reputation third. When metrics look bad, clean.

We send from multiple domains and our list is getting complex. Which tools should we prioritize first? Should we validate everything or start with engagement segmentation?
